Every job in an accounting firm waits on the same thing: information only the client can provide. It is also the step a firm controls least.

Xero has just recognised the work we have put into fixing that step. Content Snare was named Canada Practice App of the Year at the 2026 Xero Global App Awards, announced in August. We were also one of four finalists for the global Practice App of the Year award. That is two years in a row. We took UK Practice App of the Year at the 2025 Xero App Awards.

This post is about the work behind the award, and what it means for the firms using Content Snare every day.

The Xero App Awards recognise the most innovative and impactful apps in the Xero ecosystem. Each year Xero highlights the tools that help accounting firms and small businesses work more efficiently and securely. Alongside the global winners, regional awards celebrate apps delivering real value to practices in their own markets. Content Snare took the Canada Practice App of the Year title for 2026.

The work behind the award

Awards like this are rarely about one feature. They reflect product decisions made over years, shaped by how firms actually use the thing.

For Content Snare, the decision that matters most is an unglamorous one. We optimised for the client, not the firm.

Most client portals fail for a single reason: clients refuse to use them. A firm buys a portal, sends the first request, and the client emails the documents anyway. So we built the client side to be finishable by someone who has never seen the software, is doing it on a phone, and has ten minutes:

  • One question at a time, with plain instructions written for the client, not for an accountant
  • No login and no account to create, just a link
  • Progress saved as they type, so a long request can be finished across several sittings
  • Automatic reminders that do the chasing instead of your staff
  • Questions answered in context, not in a separate email thread
  • Wrong file? Reject it inline and the client gets prompted to fix that one item

Security carries the same weight, because firms are handling tax records and financial documents. Content Snare is ISO 27001 certified, independently audited, and built with:

  • Encryption in transit and at rest, with per-company encryption keys
  • Confidential fields for sensitive answers
  • Unguessable request links
  • Optional PIN protection
  • Two-factor authentication, which firms can enforce across their whole team
  • Regular backups with point-in-time recovery

The wall Canadian firms keep hitting

Canadian practices run into the same problem as everyone else, with a local twist. A lot of the work cannot start until the client does something themselves.

CRA authorisation is the clearest example. When you submit an authorisation request through Represent a Client, your client has to sign in to My Account or My Business Account and confirm it. If they do not, the request is cancelled after 10 business days and you have to submit a new one. Nothing about that is hard. It just requires a client to log in to a government website and press a button, which is exactly the kind of task that sits untouched in an inbox for a fortnight.

Then there is how the Canadian year runs. T1 season squeezes most personal returns into the weeks before the April 30 deadline, corporate year-ends land right through the calendar, and GST/HST filings come around on their own cycle. Every one of those jobs opens with the same request for documents and answers.

Content Snare is the system for that step. Build the request once, send it in seconds, let the reminders handle the follow-up, and walk clients through anything they have to do themselves, including the CRA confirmation, inside the same checklist they are already working through.

Part of a bigger picture

The Canadian award was not the only recognition this year. Content Snare was also shortlisted for the global Practice App of the Year, one of four finalists drawn from the entire Xero app ecosystem.

Content Snare also took UK Practice App of the Year at the 2025 Xero App Awards, so this is the second regional title in two years. Different market, same bottleneck: the work stops until the client sends something back.

An award only matters if the product makes your week easier. In practice, that looks like:

  • Less chasing. Reminders go out on a schedule you set, so nobody on your team writes another "just following up" email.
  • Fewer gaps. Requests are structured and validated, so you get the right documents in the right format the first time, instead of nine things out of ten.
  • Fewer stalled jobs. Work stops halting halfway because one bank statement never arrived.
  • One place for everything. Answers, files and clarifications land together instead of scattered across inboxes and shared drives.
  • A consistent process. Templates mean every staff member asks the same questions the same way.

Firms in our customer survey reported cutting the time they spend gathering information by a median of 71%, an average return of 23.9 times what they pay. Across the whole customer base, firms now collect more than 500,000 pieces of client information a month through Content Snare, up 32% on the same time last year.
